How We Build Trust

Trust & Guidelines

Every review on Proofed Reviews is held to a higher standard. Here's exactly how our proof system works, what our guidelines require, and how we keep the platform honest.

What is a "Proofed" Review?

A Proofed Review is one where the reviewer has indicated they possess documentation to support their experience. We don't collect or store documents — but the act of claiming evidence raises accountability and signals credibility to other readers.

What proof earns you the badge

  • Indicating you have a signed contract
  • Indicating you have an invoice or receipt
  • Indicating you have email correspondence
  • Indicating you have call logs
  • Indicating you have screenshots

Important clarification

The Proof Attached badge does not mean we have verified the documents exist. It means the reviewer has self-attested they have supporting evidence. This distinction is important — proof claims that appear false can be reported and will result in review removal and account action.

Accepted proof types

Signed Contracts

Any written agreement between you and the company — service contracts, listing agreements, cancellation documents.

Invoices & Receipts

Payment records showing fees paid, amounts charged, or refunds received.

Email Correspondence

Written communication with the company — promises made, disputes, follow-ups, or confirmation of services.

Call Logs

Recorded calls or call records showing when you spoke with the company and what was discussed (where legally permitted).

Screenshots

Visual captures of listings, online portals, chat transcripts, or other digital communications.

Trust Badges Explained

Badges appear on reviews and company profiles to signal different levels of credibility and information richness.

Proof Attached

Proof Attached

The reviewer has indicated they possess at least one type of documentation supporting their experience — a contract, invoice, email thread, call log, or screenshots. Visible on individual review cards and is the platform's primary trust signal.

Verified Fields

Verified Fields

Key structured fields in the review (such as cost amounts or timeline dates) have been spot-checked by our team against publicly available information or company data.

Timeline Included

Timeline Included

The reviewer has provided specific process timeline information, including how long each stage took. This helps readers set realistic expectations about timescales.

Community Moderated

Community Moderated

This review has been reviewed by our moderation team in response to a community report. It passed scrutiny and was confirmed as compliant with our guidelines.

Review Guidelines

Our guidelines exist to keep the platform useful and fair for everyone — consumers, companies, and the broader community.

Please do

  • Only review companies you've personally worked with
  • Be specific — describe what happened, when, and the outcome
  • Indicate what documentation you have to support your claims
  • Include timeline details (how long the process took)
  • Share costs and fees so others can set realistic expectations
  • Mention both positives and negatives for a balanced review

Please don't

  • Don't post reviews for companies you haven't personally used
  • Don't include other people's personal information
  • Don't use profanity, hate speech, or personal attacks on individuals
  • Don't post promotional or sponsored content as a genuine review
  • Don't make unverifiable claims designed to mislead readers
  • Don't post the same review multiple times

Writing a great review

The most helpful reviews answer these questions:

1.What service did you use and why?
2.How long did the process take, and was it what they promised?
3.What did they charge, and were there any surprise fees?
4.How was communication — responsive, clear, proactive?
5.What was the outcome? Did they deliver what was promised?
6.What would you tell someone considering this company?

How Moderation Works

Every review goes through a moderation process before it appears publicly. Here's exactly what happens after you hit submit.

01

Submission

You submit your review with details about your experience and indicate what documentation you have.

02

Initial Review

Our team checks the submission against our guidelines — screening for spam, fake signals, and content violations.

03

Proof Assessment

Reviews indicating documentation earn the Proof Attached badge. We assess the credibility of the claimed evidence.

04

Published

Approved reviews go live and contribute to the company's overall rating and trust score on the platform.

Typical turnaround

Most reviews are published within 1–3 business days. During high-volume periods this may extend to 5 business days. Your review will show a "pending approval" status until it goes live.

Reporting a Review

If you see a review that violates our guidelines, use the flag button on the review to report it. Our moderation team reviews all reports — typically within 48 hours.

False or misleading information
Suspected fake or incentivized review
Spam or promotional content
Violation of privacy
Personal attacks or harassment
Review written about the wrong company

What happens after a report?

  1. 1Your report is queued for moderation team review.
  2. 2The review in question is flagged internally but remains visible during investigation.
  3. 3If the review is found to violate guidelines, it is removed and the reviewer is notified.
  4. 4If the review is found to be compliant, it remains live and earns the Community Moderated badge.
  5. 5Serial false reporters may have their reporting privileges limited.

Frequently Asked Questions

Common questions about how the platform works.

Do you verify the documents reviewers claim to have?
We don't physically verify documents — doing so at scale isn't feasible. Instead, the Proof Attached badge means the reviewer has indicated they possess documentation. This self-attestation raises accountability: reviewers know their claim is visible and reported reviews are scrutinized more closely.
Can companies respond to or remove reviews?
Companies cannot remove reviews. They may contact us to dispute a review if they believe it violates our guidelines. We investigate all disputes and only remove reviews that clearly breach our policies. Companies cannot pay to remove negative reviews.
How long does moderation take?
Most reviews are reviewed within 1–3 business days. During high-volume periods it may take up to 5 business days. You'll see a "pending approval" status until your review is published.
What happens if I report a review?
Reports are reviewed by our moderation team, typically within 48 hours. If a review is found to violate our guidelines, it will be removed. You will not receive a direct notification, but the review will disappear from the platform if actioned.
Can I update or delete my review?
Yes. You can contact us at info@proofedreviews.com with your review details and requested changes. We'll verify your identity and process the update or removal within a few business days.
What makes Proofed Reviews different from other review sites?
We are the only platform specifically built for the timeshare exit, resale, and transfer industry that requires reviewers to indicate what documentation they have. Our proof indicators, detailed cost/timeline fields, and industry-specific rating dimensions (transparency, communication, outcome) give readers far more signal than a generic star rating.
